Village Clerk’s Office
Marva Campbell-Pruitt, the
Village Clerk, keeps the corporate
seal and all official documents
belonging to the Village. The Clerk
has the duties of keeping official
records, serves as Notary Public for
the municipality and residents,
certifying ordinances, resolutions and
minutes. Along with record retention,
the Clerk is responsible for public
records destruction.
The
Clerk is responsible for: creating the
board meeting agendas and making them
and the subsequent meeting materials
available to the Board of Trustees and
members of the public as appropriate;
signing checks, businesses,
contractors’ licenses, project
proposals, and official and legal
documents. The Clerk is responsible
for records relating to tax agency
reports and tax increment financing
reports and serves as the OMA Officer.
The
Village Clerk establishes the
process(es) for Village Fees,
coordinates the committees and
commissions, and ensure adherence to
state guidelines concerning Ethics
Statements and filing.
The
Clerk is the liaison with newspapers
and is responsible for submitting
public notices. The Clerk is the
liaison with the United States Census
and is accountable for meeting the
efforts outlined for the given period,
and she is the Local Election
Official. The Clerk is responsible for
community outreach through
communication and partnership efforts.

Board Meetings
The
Committee of the Whole Meeting is held
on the first and third Tuesday of each
month at 7:00 p.m.
These meetings allow for Trustees and
residents to gain knowledge of
programs, ordinances, and other
matters requiring a vote at the
Regular Board Meetings.
Regular
Board Meetings are held on the second
and fourth Tuesdays of each month at
7:00 p.m. These meetings provide
updates from Department Heads,
Vendors, and Committee Chairmen.
Approval of the Village's business
occurs at these meetings.
The Board does not meet on the fifth
Tuesday unless a Special Meeting is
announced in accordance with the Open
Meetings Act.
Notice of meetings is posted at the
Municipal Center and, in most, not all
instances, on the Village website. A
meeting not posted on the website but
at the required Village Hall sites
does not preclude the meeting from
taking place and is not a violation of
the Open Meetings Act.
